  1. Amount > = to $: Enter the dollar amount which is the minimum amount owing on patient accounts that you would like to include in the batch.

  2. Show details since: Similar to a Credit Card statement, you can choose '1' cycle to only reflect transactions since the last statement cycle, or choose a higher number to reflect past statement cycles and include previous transaction(s) history from past statements.

  3. Optional: Search by provider

  4. Optional Enter NPI

  5. PatBal Aging Period

  6. Haven't received a stmt in: Enter the amount of days since a patient(s) last received a statement (this helps prevent frequently generating statements on patient accounts where they would have recently already received a statement)

  11. Click Search once you are done entering your criteria details & all patients with the applied criteria will display.


To Generate The Statements:

You can selectively click the check boxes for the patients to include in this batch, or click the top header check box to 'Select All' patients on page. You can also manage them individually.

  1. To manage statements individually, click on the three dots under the action column. Here you can:

    1. Generate/Print Statement- To print out

    2. Generate/Email Statement- Will email to the email on file if input

    3. Remove- Will remove the statement temporarily from the list

    4. Preview- Will allow user to view the statement

    5. Add Addressee- This will allow use to put in a new addressee into the filed. Once an addressee is entered a red envelope will appear by the patient's name.

    6. Add Note- Can add a note onto the patient's statement

  2. To manage statements in bulk you will select a few or all. Then you can select the bulk actions at the top

    1. Icon Remove- Will temporarily remove the patient's from the list

    2. Icon Preview- will allow user to preview the statements

    3. icon add noteAdd Note- will allow user to add the same note on all the statements generated

    4. icon generateGenerate- will allow you to select to print or email statements.

      1. When emailed will email the email on file. Those with no email will stay on list to be printed.

  3. To edit patient information click on the patient’s name.

  4. To edit or view the patient accounting, click on the Patient Balance Amount


To Edit Addressee

  1. Click on three dots under ፧ in the action column

  2. Click Addressee

  3. Edit information

  4. Select Use This Address to overwrite the patient's name or deselect to remove the addressee from the statement.

Note: If an addressee has already been added to that patient they will have a red envelope next to their name.


To view previously generated batches

...

  1. Select Radio button labeled Previously Generated Statements

  2. Optional: Change the From and To date. Will already have a default of last 30 days

  3. Optional: Select Provider

  4. Optional: Search for patient

  5. Click search.

  6. You can then manage the previously generated statements individually or in bulk.

  7. To manage individually you will select the three dots under action and you can select:

    1. Reprint Statement

    2. Email Statement (only available if client has an email on file)

  8. To manage the statements in bulk you can select all check boxes or individually and next to the bulk actions you can

    1. Icon printPrint- You can either reprint statements or print a list

    2. Icon email Email statements again.


To generate a statement for one date of service in Patient Accounts

  • If a need arises where you just need a single DOS to appear on a statement you can do this in Patient Accounting. Here you will click on the encounter details and to the right of the charge click on the 3 up and down dots. This will now allow you to click Preview Statement and will generate a statement for you.
