Once claims are filed electronically this is where you can track activity & where Office Ally will provide live status updates on claims approvals & rejections.
 
TRACKING ELECTRONIC CLAIMS ACTIVITY AFTER CLAIMS HAVE BEEN FILED
 
Within 24 hours Office Ally will provide an update indicating that claims have been received. You may receive a second status update directly from the Insurance Co. within 5-7 days. This will appear as a 'Payer' status update.
 
Go To: BILLING > CLAIM CENTER > E-CLAIM TRACKING
Not all Insurance Co.'s respond electronically on claims/rejections, and after 7 days no further live updates will appear on batches. At this stage, you are simply waiting on EOB's/ERA's to be received from the Payer/Insurance Co.


UNDERSTANDING & MANAGING UPDATES & STATUS TYPES:

  • Awaiting: The initial status on a filed claims batch will show Awaiting until Office Ally processes the claims & provides an updated back into the system.

  • OA ACCEPTED status (in Green)- means Office Ally processed the claims batch and they will be forwarded to the respective payers.

  • PAYER ACCEPTED status– means that the payer has received and has accepted the claims

    • A red R status means that one or more claims have been rejected in the batch.

  • DETAILS: Click on the 'Details' box (on right) to pop-open batch and view all claims details.

    • Any rejected claims will display a Red REJECTED status Click "and you are able to click on Error Details " to display see rejection reasons. (See Office Ally’s Rejection Look Up)

  • OA Claim ID: Office Ally will assign a 10 Digit 'OA Claim ID' Number (on left)View Individual Claim Status' & Rejection Reasons: To view individual rejections, click ERROR DETAILS on a batch 

  • ACTION Column will allow you to:

    • Print Errors & Print All: Clicking either option will display an entire inventory of all rejection reasons for all claims in that batch and you can print this report.

    • To Refile An Individual Claim: Claims can be placed into Refile status by clicking on the word Refile and you will have two options

      • If you confirm to manage claims now, it will take you to the Print/Send Claims screen so you can edit and resend.

      • If you click cancel it will simply send the claim to print/send claim

    • Archive

  • Enter Date Range

  • View drop down - select "Current" or "Archive"

  • Click Search

To change your view to the archive you will use the drop down to the top right

Archiving:

  • If the payer does not send an update to Office Ally within 5-7 days of filing you will not receive another update. There is no need to keep these batches open.

  • You can either click on the three dots to the right to archive or bulk archive.
    • a batch after 7 days as this will no longer provide updates. (Archived batches can be viewed by changing the view)


Bulk Actions
You will now be able to select one, several or all batches to Refile or Archive.
