3.7 Patient Statements

 

Patient Statements are able to be generated in the patient accounting or in bulk on the Statements Page.

A. SET UP STATEMENT CRITERIA:

Billing> Patient Accounting>Statements> Settings

  1. Amount > = to $: Enter the dollar amount which is the minimum amount owing on patient accounts that you would like to include in the batch.

  2. Haven't received a stmt in: Enter the amount of days since a patient(s) last received a statement (this helps prevent frequently generating statements on patient accounts where they would have recently already received a statement)

  3. Show details since: Similar to a Credit Card statement, you can choose '1' cycle to only reflect transactions since the last statement cycle, or choose a higher number to reflect past statement cycles and include previous transaction(s) history from past statements.

  4. Under ADDRESS INFORMATION you can overwrite what pulls from your facility tab to customize what shows on your statements.

  5. Optional: Add Aging Messages depending on how old the balance is

  6. Optional: Add in a Disclaimer

  7. Optional: Include Zero Balances, Credit Balances, Wait to send statement until insurance claim is closed and/or include UAC on statements.

  8. Optional: Enter in Provider NPI or Tax ID

  9. Select Credit Cards you would like to appear on the statement (Maximum of 4)

 

B. GENERATING & MANAGING PATIENT STATEMENTS IN PATIENT ACCOUNTING:

To generate a statement for multiple dates in patient accounts for one patient.

  1. Click Bulk Action dropdown and select Generate Statement

  2. A pop-up of the Statements tab will appear, displaying the selected patient, allowing you to efficiently manage their statement.

    1. You can add a note, change the settings, or add an addressee

  3. Click Generate/Print Statement

  4. Choose option: email, print, or send to MailMyStatements (if subscribed)

    1. To email a statement, the patient must have both the last four digits of their Social Security number and a valid email address on file.

  5. Review statement and click ‘Confirm’

 

To View Generated Statements in Patient Accounting

Under the main options, you'll find 'Preview Generated Statements.' Selecting this will open a pop-up displaying all generated statements for the patient. From here, you can either reprint a statement or view a history of when statements were generated.

C. GENERATING & MANAGING PATIENT STATEMENTS IN BULK:

Go To: BILLING > PATIENT ACCOUNTING > STATEMENTS

Select The Filter/Criteria For Statements:
You have the ability to selectively change/edit the statement criteria that will filter the patients' to include in the batch. If no changes are made, the settings will show. You can also use the advance search to search for a specific patient.

Exclude UAC Option

If a patient's Unapplied Credit (UAC) exceeds their balance, the system will, by default, not trigger the patient for a statement. However, you can choose to exclude the UAC from the patient’s overall balance by selecting the ‘Exclude UAC’ option and clicking ‘Search’. This will prevent the UAC from being factored into the balance when determining whether a statement is needed.

To Generate The Statements:

You can manage the statements in bulk or individually with the action column:

  1. Generate Statement- This will have you select if you want to print locally, email the statements or send to MailMyStatements (if subscribed).

  2. Remove- Will remove the statement temporarily from the list

  3. Preview- Will allow user to view the statement

  4. Add Note- Can add a note onto the patient's statement

  5. Set Preference- This will allow you to filter the statements according to preference

To Edit Addressee

  1. Click on ፧ in the action column

  2. Click Add Addressee and enter information

  3. Select Use This Address to overwrite the patient's name or deselect to remove the addressee from the statement.

Note:

  • If an addressee has already been added to that patient they will have a red envelope next to their name.

  • You can click on the patient balance to manage the patient’s accounting in case a UAC had not been applied.


To view previously generated batches

  1. Select the drop down in the top right hand side

  2. Select the batch you would like to regenerate

  3. You can now print preview if necessary


To manage previously generated statements

  1. Select Radio button labeled Previously Generated Statements

  2. Enter in Search/Filter Criteria

  3. You can then manage the previously generated statements individually or in bulk.

  4. You can now manage the Statements

    1. Print- You can either reprint statements or print a list

 

D. MailMyStatements™

MailMyStatements (MMS) is an integration that ChiroFusion offers that allows you to send them your statement file and they will take care of the printing and mailing of your statements. Once the statements are sent, you will be able to see on the STATEMENT TRACKING tab if those statements were sent successfully.

There is no need to log into your MailMyStatements account directly as everything is managed within your ChiroFusion account.  Any direct management of statements in your MMS account will disrupt the chain of flow and not reflect correctly in your ChiroFusion account. The only reason you may need to login to this account is if you are managing your billing options/invoices.

 

E. STATEMENTS AND OPENEDGE INTEGRATION

If your office is subscribed to OpenEdge for payment processing, the statement will include a link that the patients can follow to pay their outstanding balance online. Each statement will have a unique statement ID that will need to be entered as well as verification information to view and/or pay their statement online. Once the patient payment is made it will then auto populate to the corresponding charges within the patients account.
